PplBrief ("we", "our", "us") helps you remember what matters about the people you meet and follow through on what you promised them. This Privacy Policy explains what data we collect through the PplBrief app and website, why we collect it, and how we protect it.

PplBrief is intended only for users aged 18 and over. By using PplBrief you confirm that you are at least 18 years old.

This policy applies globally and is designed in accordance with:

We collect only the data needed to provide and improve the service.

We use each category of data for a specific purpose:

• Account data — to create your account, sign you in, and manage your settings
• Contact & conversation data — to provide the core features of the app
• Voice & memory data — to transcribe and save the memories you capture
• Analytics & technical data — to understand website usage and improve the product, only with your analytics consent

4. Voice & Audio

PplBrief lets you capture a conversation by voice. We only access your microphone when you start a voice note, and only after you grant permission.

When you record a voice note:

• The audio is sent to a third-party provider for transcription
• The raw audio is processed only to produce a transcript and is not stored on our servers
• The resulting transcript and memory text are saved to your account

You can delete any note or memory at any time, which removes it from your account.

5. AI Features

Some features use a third-party AI provider to process your content and generate results such as transcripts, summaries, and suggestions. To do this, relevant content (which may include your transcripts, meeting notes, and the details you have recorded about a contact) is sent to that provider to return your results.

Your data is not used to train the AI provider's models, and we do not use your personal data to train our own models.

6. Information About Other People

PplBrief is built around notes you keep about other people — colleagues, clients, managers, mentors, and anyone you have met and want to remember. Those notes are personal data about someone else, and you act as their controller when you record them.

We ask you to use PplBrief responsibly:

• Record only what you reasonably need to maintain the relationship
• Avoid recording sensitive categories of data — health, religion, political views, sexual orientation, or similar
• Keep notes factual and proportionate, as you may be asked to disclose them if that person exercises their rights

Your notes are private to your account. We do not surface them to the people you write about, sell them, or use them to build profiles. If someone believes you hold data about them and wishes to exercise their rights, contact us and we will help you respond:

7. Third-Party Services

We use a small number of trusted service providers to operate PplBrief, including:

• A cloud hosting and database provider (to store your data and run the service)
• An AI processing provider (for transcription and AI features)
• PostHog, hosted in the European Union, for consent-based analytics on the marketing website

These providers process data only on our behalf and under appropriate agreements. We do not sell your data or share it for advertising.

8. Data Storage & Security

We protect your data with industry-standard measures:

• Data is encrypted at rest
• All data in transit is encrypted using HTTPS/TLS
• Access to your data is restricted to you and authorized service providers

Your data may be processed in countries outside your own (for example, the United States or Europe) by our service providers. We rely on appropriate safeguards for these transfers.

9. Data Retention

We keep your data only as long as needed:

• Account, contact, and conversation data — retained until you delete it or delete your account
• Voice audio — not retained after transcription
• Analytics data — retained for a limited period in line with our providers' standard policies

You can delete your account directly in the app from Profile → Delete Account.

Deleting your account permanently removes your data, including your contacts, conversation memories, follow-ups, notes, and account details. This action is irreversible.

• Access the personal data we hold about you
• Correct inaccurate data
• Delete your data (available in-app, or by contacting us)
• Object to or restrict certain processing

PplBrief is not intended for anyone under the age of 18, and we do not knowingly collect data from minors.
